Job Description

About the CMA and the Young Canada Works Program:
The Canadian Museums Association (CMA) is the national organization for the advancement of the Canadian museums sector, representing Canadian museum professionals both within Canada and internationally. Part of the Government of Canada’s Youth Employment Strategy, the CMA collaborates with the Department of Canadian Heritage in delivering the Young Canada Works (YCW) program, which offers summer jobs and internships in museums and heritage organizations. YCW is an important investment in the future of the museum industry, creating development opportunities for future museum professionals.

Job Description:
The CMA administers two components of the Young Canada Works (YCW) program, a youth employment initiative funded by the Department of Canadian Heritage (PCH). The YCW Program Officer plays a vital role in administering this funding program to the museum community through the delivery of Young Canada Works in Heritage Organizations (YCWHO) and Young Canada Works at Building Careers in Heritage (YCWBCH). Reporting to the YCW Program Coordinator, the YCW Program Officer will be responsible for administration of assigned YCW files.

The Program Officer’s primary duties will include:

  • Provide information to project applicants and recipients concerning YCWHO and YCWBCH program guidelines and policies in both official languages;
  • Maintain assigned portions of the YCW databases and file management tools;
  • Receive, register and maintain project proposals for the YCWHO and YCWBCH programs;
  • Issue and track all funding offers and Contract Letters for approved YCWHO and YCWBCH projects;
  • Calculate and process all requests for payment in keeping with program policies and guidelines;
  • Review and process all reports submitted by YCWHO and YCWBCH recipients and youth participants;
  • Conduct monitoring of approved projects in accordance with program guidelines;
  • Assist with reconciliation of YCWHO and YCW BCH financial reports to CMA financial accounting system;
  • Assist with the distribution of program information and general program promotion;
  • Assist with the compilation of reports to PCH;
  • Assist in the organization of the Peer Review Process, which may include meeting preparations, creating documentation packages, and travel arrangements;
  • Other related duties as required.

Qualifications:

  • Fluency in French (written and spoken). For this position we are seeking a candidate with excellent French language skills;
  • Fluency in English (written and spoken);
  • Ability to negotiate difficult situations with diplomacy and tact;
  • Strong problem-solving skills;
  • Strong computer skills using Word, Excel, Outlook, Internet browser;
  • Sound math skills and attention to detail;
  • Strong organizational skills;
  • Ability to take initiative and manage workload;
  • Ability to work independently and as a part of a team;
  • Appreciation of the museum, arts and heritage field.

Special notes:

  • This position is located at the CMA Secretariat in downtown Ottawa.
  • Hours of work are Monday to Friday, 9 a.m. to 5 p.m. (35 hours paid per week).
  • This call for candidates may be used to fill other CMA positions requiring similar qualifications.
  • This position is based on government funding, subject to renewal in March of each year.

Salary: Pro-rated at $30,500 per year
