Job Description

Reporting directly to the Executive Director, the Chief Operating Officer oversees the Thunder Bay Historical Museum Society’s operations in areas that include visitor and members’ services, communications and marketing, strategic partnerships, human resources, volunteers, implementation of policies and procedures, purchasing, facilities, and security. The COO also shares responsibility for the Museum's overall financial performance, with specific responsibility for the effective management of all revenue-generating functions.

Key responsibilities include the following:
• Ensuring that all business and operational aspects of the museum are in alignment with overall objectives and reflect the institution’s values; setting high standards for integrity, productivity, professionalism, creativity, diversity, and cooperation in the workplace;
• Offering leadership and mentoring to three key areas: Human Resources, Facilities and Operations, and Earned Revenue; ensuring integrated efforts and systems to support museum’s programmatic departments in relationship to the fulfillment of the Society’s mission;
• Supervising and improving the museum’s financial and budget process, including the framework for budget preparation and reporting, supervising budget control systems, monitoring budgets and forecasts;
• Managing the timely production of all financial reports including monthly financial statements and payroll;
• Ensures internal control systems are properly designed, implemented, maintained and consistently adhered to; ensure key transaction systems (including fundraising, membership, store sales, admissions and ticketing, rental sales) are efficiently and fully implemented and regularly reconciled to the general ledger;
• Oversight and direction of shared services including finance, human resources, volunteer program, marketing, procurement, facilities, and IT; and
• Assume role of acting Executive Director should both the Deputy Director/Curator and the Executive Director are on out of the office for an extended period of time.

The ideal candidate will possess the following skills:
• A Bachelor’s degree in Business or related experience in a museum or non-profit environment;
• A minimum of two years’ experience working, or equivalent combination of education and experience (preferably in a non-profit environment), which must have included supervisory responsibilities;
• Experience and understanding of the public-sector and/or non-profit sector;
• The ability to manage time and have good communication and public relation skills;
• Strong computer skills accompanied by problem solving abilities;
• An ability to look for solutions within limitations and challenges; and
• Have a valid class “G” driver’s license and access to a vehicle.
