The Ottawa School of Art (OSA) is a community-based institution dedicated to fine arts education for students of all ages and abilities. The School runs five major educational programs and a public gallery space. We are looking for a well-organized individual with excellent communications and interpersonal skills able to work in a fast-paced team oriented environment.

Responsibilities:
• Working with the Executive Director and the Registrar, will develop and coordinate programming directions and course and camp schedules for each term
• Working with the ED, will develop recommendations to expand existing courses and programming
• Supervise registration procedures, course cancellations and pro rate offerings for each term at Orleans campus
• Manage and track the overall budget for the Orleans campus
• Prepare and distribute teaching contracts and deal with instructors’ needs
• Produce class schedules and listings and enter data into OSA registration database
• Prepare the payroll information for the Finance Officer every two weeks
• Provide class schedules and course information for publicity and term calendars
• Ensure staff training and supervision, general office functions, classroom/equipment maintenance and related matters
• Establish and maintain customer service standards
• Support the coordination of gallery exhibits and openings and the translation/revision of related promotional materials
• Coordinate promotional events (school visits, Fête Frissons, Halloween event, etc.) and related promotional and marketing activities as required
• Assist with the translation and proofreading of all French language content for OSA documents, texts and website
• Supervise and coordinate the Arts Fundamentals Certificate program
• Enforce Health and Safety and WHMIS standards
• Be an active member of the Shenkman Arts Centre Advisory Committee and take part in regular meetings, discussions and long-term planning for the Centre

Qualifications:
• Minimum experience of 5 years in office and staff management
• College certificate in office management or equivalent experience
• Excellent communication and interpersonal skills
• Proven computer skills in database, spreadsheet and word-processing software
• Bilingualism is required
• Ability to work in a team environment
• Strongly self-motivated

This is a maternity leave replacement position (18 months). The salary will be based on training and experience but will be competitive in the NFP sector. The position is full-time and normal hours of work are 9 am to 5 pm Monday to Friday. The job does require the employee to work extra hours from time to time.
