Job Description:

 

Location: West Shore Arts Council 2805 Carlow, Langford, BC

Wage: $15 per hour, at 30 hours per week for an anticipated 12 weeks (dependent upon Summer Jobs program funding). Expected start date is April 23, 2018.

Reporting to the Administrative Officer and President of the West Shore Arts Council, the Communications and Outreach Assistant provides support to the WSAC Board by performing a variety of administration, programming, writing, and research tasks. In this role, the Communications and Outreach Assistant will work also collaboratively with a number of local groups and organizations to support the effective and professional programming on behalf of the West Shore Arts Council. This position is made possible by the “Canada Summer Jobs Program” and is contingent upon receiving successful funding from the Province of British Columbia.

To be eligible, students must:
-be between 15 and 30 years of age at the start of the employment
-have been registered as full-time students in the previous academic year and intend to return to school on a full-time basis in the next academic year
-be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment
-have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations

Responsibilities:

Administration:
Provide administrative and some creative graphic support to Arts Council members and membership organizations.
Assist with the updates necessary for website with support from the Administrative Officer.
Process new memberships.
Other administrative duties as required.

2) Event and Program Development (Outreach Activities):
Assist with coordination for local arts, culture, and heritage focused events and opportunities for local artists and Westshore residents.
Assist with the organization of facilities and manage event details such as entertainment, location, attendee registration, equipment, promotional material, etc. for some of the planned events that the organization hosts.
Proactively handle any arising issues and troubleshoot any emerging problems on the event day.
Assist in conducting pre and post event evaluations and report on outcomes.
Produce market research, identify opportunities, and generate interest for future events.

Communications:
Respond to daily phone and email enquiries from membership and other arts organizations.
Assist with the creation of the monthly newsletter.
Greet visitors, answer phone/email/ face to face queries.
Manage the Social Media accounts (Facebook, Twitter, Instagram, etc).
Develop promotional material as necessary for events and produce press releases and feature articles for publication.
Periodically assist with writing newspaper and/or magazine arts related articles.

Qualifications:

Experience using Microsoft Office programs
Excellent writing and research skills
Excellent oral communicator with outgoing personality
Professional telephone manner
A reliable vehicle
Must be entering the second year of university studies
Must meet the other eligibility requirements outlined

Assets:
Experience working with Adobe Creative Suite programs (InDesign, Photoshop)
Administrative experience
Event planning experience
Experience working in an not-for-profit arts focused business or organization
Experience working with children
