EVENT & EXHIBIT ASSISTANT

The Fraser River Discovery Centre (FRDC), in New Westminster BC, is an interpretive centre and not-for-profit organization that presents stories of the living, working Fraser River and their contributions to the life, history, and future of British Columbia through exhibits, education programs, and special events. The Centre is currently seeking for a permanent, full time Event & Exhibit Assistant to join our small, dynamic team of staff, contractors, and volunteers.

SUMMARY
Reporting to the Director of Operations, the Event and Exhibit Assistant is responsible for special event support for the development and delivery of events such as RiverFest and Hall of Fame. The Assistant provides support for the development and delivery of speaker series such as Fraser River Dialogues, Faces of the Fraser, and Biodiversity. They assist with the development of permanent and temporary exhibits and exhibit maintenance. The Event and Exhibit Assistant also provides graphic design, supervision of event and exhibit volunteers and temporary staff, and assists with communications.

RESPONSIBILITIES
• Events Coordination and Support
o Event staff/volunteer recruitment, training, supervision and scheduling
o Event coordination for RiverFest, an annual festival co-managed with community partners
o Provides logistical support for FRDC special events and programs from conception to completion, including planning, promotion, setup, takedown, registration, and all logistics 
• Exhibit Support
o Primary and secondary research for new or existing exhibit themes
o Updates existing exhibit text and/or graphics as required
o Exhibit maintenance as required including cleaning, text and graphic panel updates, retrofits, and audio/visual maintenance
o Maintains exhibit supplies and equipment including purchasing, archiving, maintenance, and asset inventory
• Marketing and Communications Support
o Coordinated with Director of Operations and Director of External Relations and Development including but not limited to:
 Print Media
 Website
 Social Media
• General Duties
o Develops and maintains records management for each event and exhibit development
o Maintains external contacts and relationships with collaborators
o Graphic design development creation and updates
o Writing, editing, proof reading text and content
o Assists with planning initiatives as required

REQUIRED QUALIFICATIONS
• Minimum 1-2 years event assistance/management and exhibit development experience with not-for-profit organizations or equivalent
• Post-secondary degree in related discipline or equivalent (e.g. Tourism, Museums, Business, Marketing, etc.)
• Ability to work effectively and efficiently independently, and collaborate as a strong team member
• Proficient in Microsoft Office Suite, particularly Word, Excel, PowerPoint and Publisher, Outlook, Adobe Photoshop, and InDesign
• Demonstrated initiative and innovation, particularly to continuously improve internal processes and Centre profile and presentation
• Demonstrated graphic design skills
• Demonstrated writing skills, including content for publication
• High level of customer service
• Ability to manage time effectively, and multitask while under pressure to meet deadlines
• Excellent quality of work
• Excellent interpersonal communications skills, both verbal and written in English
• Proven supervisory skills
• Second language an asset
• Valid BC Class 5 Driver’s License is desirable
• Current standard First Aid (or equivalent) an asset
• A Serving It Right Certificate an asset, can be acquired after employment with FRDC
• Criminal record clearance required

HOURS:  
• 37.5 hours/week; 8:30-4:30 Tuesday to Saturday. Must be flexible to cover events, rentals, weekends, holidays and/or evening shifts
