Job Description:

 

Purpose of Position

Reporting to the Collection Manager, the Digital Asset Administrator will support the management of the Museum’s digital archival assets. A key goal for this contract position will be the completion of a comprehensive backup of the Museum’s digital archival Collection. The Digital Asset Administrator will work closely with Collection and IT staff throughout the duration of the contract.

Principal Accountabilities

• Coordinate the uploading of digital archival media files to the Museum’s network;
• Rename and sort the digital archival media files into their designated home;
• Compile preservation metadata for digital archival media files;
• Maintain an ongoing inventory of digital archival media files and identify duplicates; and
• Prepare digital archival masters to be backed up in accordance with Museum procedures.

General Administration
• Enter and compare data with existing inventory files;
• Records management including the filing of inventories and updating collection administrative records;
• Maintain logs of activities and completed work, and report to the Collection Manager through monthly Status Reports;
• The project will require coordination with other key team members in order complete the assigned tasks;
• Reports risks to the Collection Manager;
• Other tasks as assigned.

Qualifications:

Education, Knowledge & Experience

Skills and Qualifications – Required

• A Bachelor’s degree that is relevant to the work and a post-graduate diploma or Masters degree in archival science, library science, or a related field;
• 1 year mandatory and 3 years preferred experience and demonstrated success working directly with digital archival assets including audio, audio-video, and still image files;
• Outstanding attention to detail and commitment to excellence;
• Enthusiastic about creating order from disorder;
• Able to apply sound judgment while working independently within tight timelines;
• Understands the critical importance of timelines;
• Excellent communication skills and an ability to forge trusting relationships within a diverse team;
• Proven success as a key member of a team;
• Familiarity with Microsoft office software.

Skills and Qualifications – Desired
• Hands-on technical experience with library systems, content management systems (CMSs), or other large searchable databases;
• Established experience editing media files;
• The ability to communicate effectively in both official languages is an asset.
Working Conditions & Physical Demands
• Work will be conducted within an office environment and will require long periods working independently at a computer.
