Job Description:

 


Term position will run 26 weeks, August 2018 to the start of February 2019.

Under the direction and supervision of the Executive Director, the Collections Assistant will:

1. Process a recent donation of archival material according to museum collection procedures. This will include: entering information contained on the cataloguing worksheet and condition report into the collections database, photographing or scanning each item, updating the item location, and adding worksheets to individual accession files.

2. Improve and standardize collections documentation. This will include reconciling image files with their related museum collection database entry, renaming incorrectly named image files according to file naming conventions, re-sizing and re-attaching image files to their related database entry, cataloguing archival items for which an image but no record exists, photographing or re-scanning archival items that were previously photographed or scanned at low resolution, measuring artifacts, transcribing remarks from existing worksheets/condition reports, upgrading descriptions for database entries, creating a glossary of terms used to standardize data entry, and searching each record for geographical information.

3. Upgrade collections storage and housing for specific items. This will include: relocating and re-housing archival items, reconfiguring foam inserts, assessing the storage of textile boxes, making garment bags, moving hanging textiles to a rolling rack, scanning and adding images of framed photographs to the museum collection database.

4. Clarify the ownership/copyright of images that are held by both the OLCM and other institutions. This will include: compiling a list of photographs/slides/negatives that have a reference number from another institution, note if the image appears to be original or a copy, and cross-reference with holdings of other institutions. This may also include organizing meetings with staff members of other organizations/institutions to clarify the copyright or ownership of the images, and drafting a Memorandum of Understanding or similar document.

The Collections Assistant will also assist the Executive Director in a number of collections-related tasks, include environmental monitoring, integrated pest management, cataloguing, research, and records management. The Collections Assistant may be asked to perform other duties as required.

Qualifications
• A minimum of one year of experience with cataloguing and collections database entry (can be a combination of employment, volunteer, and/or educational experience).
• Working knowledge of collections management care, documentation and preventative conservation practices and standards.
• Degree or diploma in a discipline appropriate to museum work, such as museum management, curatorial, collections management, conservation, archives/records management, archeology, anthropology, history, First Nations studies, or a combination of related training and experience.
• Strong organizational and time management skills.
• Attention to detail.
• Strong oral and written communication skills.
• Comfortable and willing to speak publically.
• Ability to work independently and as a part of a team.
• Experience conducting research.
• Content knowledge of Yukon and/or Yukon Anglican Church history is an asset.
• Proficient in the use of computers including MS Office Word and Excel.
• Experience working with databases (FileMaker Pro and Collective Access) and Adobe Suite is considered an asset.
