The Civic Collection Technician oversees the civic collection owned by the City of Kingston that is housed at City Hall, the two civic museums (MacLachlan Woodworking Museum and Pump House Steam Museum), at venues throughout the City and at several off-site storage locations. Responsibilities include oversight of collection registration and cataloguing, conservation, research, collection storage and the overall day-to-day handling of museum objects, artifacts and works of art.

The Civic Collection Technician reports to the Manager of Cultural Heritage and works as part of the team to support collections development, acquisition and de-accessioning processes, exhibition design and installation and artifact loans. This position is also expected to manage contracted projects such as artifact conservation and helps to oversee seasonal and/or contract staff, including students, interns and volunteers.

Responsible for the day-to-day care of the civic collection, including accessioning, cataloguing, handling, preserving, installing, transporting, storing artifacts, and maintaining artifact records according to accepted museum principles.

Maintain an electronic database for the civic collection. The City is currently migrating its records to Proficio by Re:discovery Software Inc.

Support the development and administration of policies and procedures related to acquisitions, insurance, tax receipts, de-accessions as well as artifact research, documentation and photography, loans, conservation, and exhibitions connected to the collection.

Track budgets allocated for collections supplies, conservation, and collections storage.

Design, organize, manage and monitor conservation projects, including securing and maintaining a roster of qualified conservators, preparing requests for proposals, designing/writing project specifications, securing and analyzing quotes, monitoring project progress and evaluating the final results.

Organize, maintain and monitor artifacts and the artifact storage areas both on-site and off-site and ensure all artifacts are properly catalogued and stored in an appropriate, stable and secure environment.

Perform simple conservation treatments on artifacts when necessary and appropriate.

Work with the Curatorial and broader Heritage teams to respond to public and institutional inquiries regarding donations, loans and artifact care.

Assist with artifact preparation, installation, and documentation for exhibitions at City Hall and the two civic museums and other display areas as required. Prepare artifacts for loans to other institutions.

Manage, maintain, analyse and improve environmental data logging and statistics at City Hall, the two civic museums and off-site storage locations.

Manage and maintain the Integrated Pest Management (IPM) system for all locations housing the city’s civic collections.

Maintain a Disaster Plan and Conservation Policy in accordance with provincial and federal standards.

Supervise seasonal staff, including the preparation of grant applications, recruitment, hiring, training, scheduling and monitoring.

Oversee other contract staff working on artifact related projects.

Support the Heritage Assets Working Group when artifact accessions and de-accessions are being presented for consideration.

Provide support to other City departments regarding artifact-related matters.

Comply with health and safety policy and procedures at all times.

Prepare reports as needed.
